“Auto reply chatbot” gets used for three quite different things: a fixed auto reply, a keyword menu bot, and an AI that actually reads the message. They cost differently, and they fail differently. Here is the honest version of the comparison, with the kind of messages Malaysian customers really send.
The three levels
| Fixed auto reply | Keyword / menu bot | Real AI | |
|---|---|---|---|
| How it decides | Does not decide. One message for everyone | Matches words like “price” or “1” from a menu | Reads the whole message and the conversation before it |
| Handles BM/English/Chinese mixed | n/a | Only if you predicted the exact words | Yes, including rojak |
| Can quote from your price list | No | Only canned lines you wrote per keyword | Yes, as a range, from the rates you provide |
| Books appointments | No | Usually collects a form | Can offer real open slots and hold the booking for your approval |
| Typical cost | Free (WhatsApp Business app) | RM0 to ~RM200/month DIY tools | Managed from ~RM299/month, or DIY platforms priced in USD |
The same customer, three outcomes
A real message an aircon company gets at 9.47pm:
“Hi boss, aircond bilik tak sejuk dah 2 hari. Puchong area. Esok boleh datang tak? Berapa ye?”
- Fixed auto reply: “Thanks for messaging us! We are closed and will reply tomorrow.” The customer learned nothing. Some will wait. Some are already texting the next company.
- Keyword bot: no keyword matches “tak sejuk”, so it either sends the fallback menu (“Reply 1 for prices, 2 for booking…”) or the wrong canned answer. Menus feel like a phone IVR, and customers in Malaysia routinely just type their question anyway.
- Real AI: it recognises a service request in BM, replies in BM, gives the standard service price range from the company’s own rate card, says the exact figure gets confirmed on-site, and offers tomorrow’s actual open slots. The owner wakes up to a booked job, not a cold lead.
Where AI honestly has limits
A fair comparison cuts both ways. A good AI setup will still:
- Hand over to a human when it is unsure, instead of guessing. You want that behaviour; an AI that never escalates is an AI that sometimes invents answers.
- Quote ranges, not exact figures, when the price depends on something it cannot see. From a photo, nobody can tell an aircon’s horsepower.
- Need decent source material. If your price list is out of date, the AI’s answers will be too. Setup quality matters more than the model name.
Anyone promising 100% accurate answers with zero human involvement is overselling. The realistic promise: the repetitive 80% gets answered instantly and properly, and the tricky 20% reaches you with context instead of from zero.
Which level do you actually need?
- Low volume, simple questions (address, opening hours): the free auto reply tools are enough. Set them up with our 2-minute guide.
- Structured flows (ticketing, order status buttons): a menu bot on the official API can work, if your customers tolerate menus.
- Enquiries that turn into money (quotes, bookings, jobs, consults): this is where real AI pays for itself, because the cost of one missed enquiry is bigger than a month of software.

Common questions
Is a WhatsApp auto reply chatbot free?
The built-in WhatsApp Business auto replies are free. Anything that answers questions runs on the official API through a provider, which is paid.
Will a chatbot get my WhatsApp number banned?
Bots on the official WhatsApp Business API are far safer than grey-market blasting tools. Meta can still act on genuine policy breaches, so the setup should be done properly, with opt-ins and honest use.
Can the AI reply in Bahasa Malaysia and Chinese?
A properly set up AI replies in the language the customer used, including mixed BM-English. Menu bots only do the languages you hard-coded.
